We’re proud to open our doors to the vibrant members of our community. We have designed this page to offer detailed information regarding the request to use district facility for scheduled events, related to both school activities and non-school activities, we’re committed to making your experience welcoming, safe, and enriching.

Types of facility options

Schools often serve as community hubs, so a wide variety of events are typically held on school grounds outside of regular instructional hours.

Essential Legal Forms and Requirements

  1. Facility Use Application and Agreement

    • Must be submitted in advance (Ideally 2 weeks ahead of scheduled event).

    • Includes details about the event, dates, times, expected attendance, and specific facility areas requested.

  2. Proof of Liability Insurance

    • The applicant must provide a certificate of insurance.

    • The school district must be listed as an additional insured.

    • This protects the district from claims arising from the applicant’s negligence.

  3. Rental Fee Agreement (if applicable)

    • Depending on the classification of the user (non-profit, government, commercial, etc.), rental and equipment fees may apply.

    • Some districts waive fees for certain community or educational groups.

  4. Indemnification Clause

    • Included in the agreement to ensure the applicant agrees to hold the district harmless from any claims or damages.

  5. Cancellation and Modification Policy

    • Applicants must notify the district of cancellations or changes within a specified timeframe (1 week in advance).

  6. Special Equipment and Services Request

    • If the event requires use of kitchen facilities, custodial services, AV equipment, or other resources, these must be requested and approved in advance.

    • Additional charges may apply for labor or equipment.

  7. District Approval Signatures

    • Final approval typically requires signatures from the school principal and district administrator.
